NOTEQ Privacy Policy

October 28, 2026.

1.0 – draft for legal review before publishing

1. About this policy

This Privacy Policy explains how NOTEQ collects, uses, stores, and protects the personal data of platform users.

NOTEQ is a platform for musicians, bands, and event organizers, enabling profile creation, song and repertoire management, booking organization, and related features.

Please read this policy carefully to understand what data we process, for what purposes, on what legal basis, and what rights you have.

2. Data controller

The data controller is:

  • Lazar Trifunović
  • Serbia
  • Contact email: [email protected]
  • Website: https://noteq.rs

3. What data we collect

Depending on how you use the platform, we may process the following categories of data.

3.1. Account data

  • Name, when provided.
  • Email address.
  • Username and account identifier.
  • Profile photo.
  • Password in protected form, when using password-based login.
  • Settings and preferences you configure in the app.

If you log in via Google, we receive from Google: Google account identifier, email address, display name, and profile photo URL. Google is the only external identity provider currently supported.

3.2. Public profile data

  • Band or artist name, description, genres, and location.
  • Profile and event photos.
  • Links to websites and social media.
  • Band member information and music services offered.

Depending on visibility settings, some of this data may be accessible to other users or the public.

3.3. Content you upload

  • Songs, chord sheets, repertoires, and collections.
  • Event photos and albums.
  • Descriptions and other data you save in the app.

3.4. Booking and performance data

  • Requester data: name, contact details, account identifier.
  • Event information: name, location, date, type.
  • Answers to the questionnaire set by the band.
  • Booking status and change timestamps.
  • Internal financial overview maintained by the band: income, expenses, packages.

3.5. Technical and usage data

  • IP address.
  • Browser, device, and operating system information.
  • Session and authentication data.
  • Screen visits and feature interactions.
  • Error and performance data.
  • Identifiers used for analytics or diagnostics.

The exact scope depends on app configuration and third-party services. We do not claim all data is anonymized.

4. How we use your data

We process data only to the extent necessary for specific, lawful purposes.

4.1. Providing the service

  • Account creation and authentication (including Google OAuth).
  • Profile display and editing.
  • Content storage and display.
  • Booking, performance tracking, and related features.
  • Settings and preference management.
  • Customer support.

Legal basis: performance of a contract.

4.2. Transactional and system emails

We use email for messages directly related to your account and platform activity: account verification and password reset; booking notifications (new request, confirmation, decline, cancellation, expiry); performance reminders (7 days and 24 hours in advance); review prompts, reminders, and results; band invitations and new member notifications.

We use Resend to send emails. NOTEQ does not use Resend for marketing campaigns.

Legal basis: performance of a contract or legitimate interest for operational communication.

4.3. Push notifications

If you grant notification permissions, we use Firebase Cloud Messaging (FCM) to send real-time notifications about platform events. A device token is assigned to your device for message delivery and stored by NOTEQ.

Legal basis: consent or legitimate interest for operational communication.

4.4. Security and diagnostics

We use Sentry for error diagnostics, configured with: maskAllText: true, blockAllMedia: true, session replay disabled in normal operation (enabled only on error), and HTTP body and user data collection disabled.

Sentry is initialized only if you have approved the diagnostics category.

Legal basis: consent for diagnostic processing.

4.5. Analytics

If you approve the analytics category, we use GA4 and PostHog. GA4 is configured in Advanced Consent Mode v2: before consent is granted, all parameters (analytics_storage, ad_storage, ad_user_data, ad_personalization) are set to 'denied', but the GA4 script still loads and may send cookieless pings without identifiers — Google uses these signals for aggregate behavioral modeling. Full data collection activates only when you grant analytics consent. NOTEQ does not send user_id, email, or any direct identifier to GA4. PostHog is initialized only with analytics consent. Before login, events are recorded without user identifiers. Once you log in, PostHog receives your user ID, email, name, and username — tracking is no longer anonymous from that point. If you revoke consent, PostHog stops collecting (opt_out_capturing). On logout, the PostHog profile is reset.

Legal basis: consent.

4.6. Marketing

NOTEQ does not currently use active advertising tags, Google Ads campaigns, or other marketing technologies. GA4 is configured with Consent Mode v2 — ad_storage, ad_user_data, and ad_personalization are denied by default — but this configuration has no practical effect while no active ad campaigns exist.

If marketing technologies are introduced in the future, this policy will be updated and your consent requested before activation.

Legal basis: consent.

5. Legal bases for processing

  • Performance of a contract: when data is needed to provide a feature you use.
  • Legal obligation: when processing is required to comply with applicable law.
  • Legitimate interest: when necessary for NOTEQ's or a third party's legitimate interests, with due consideration of user rights.
  • Consent: for analytics, diagnostics, and marketing.

Where processing is based on consent, you may withdraw it at any time via privacy settings. Withdrawal does not affect the lawfulness of prior processing.

6. Cookies, localStorage, and consent management

NOTEQ uses localStorage and cookies for app operation and privacy preference management. When you save preferences, your choice is stored in localStorage and in a cookie with a 1-year expiry.

  • Necessary: required for app operation. Not optional.
  • Analytics: GA4 and PostHog. Activated only with your consent. GA4 uses Google Consent Mode v2.
  • Diagnostics: Sentry. Initialized only with your consent.
  • Marketing: GA4 advertising signals (Consent Mode v2). Activated only with your consent. No active ad campaigns currently.

You can change your choice at any time in privacy settings.

7. Service providers

  • Cloudflare R2 (Cloudflare, Inc., USA — global endpoint) — media file storage. Files protected with presigned URLs.
  • Resend (Resend, Inc., USA — AWS us-east-1) — transactional and system emails.
  • Google Analytics 4 (Google LLC, USA — global) — usage analytics with Consent Mode v2. No user identifiers sent.
  • PostHog (PostHog, Inc., USA — Cloud US, us.i.posthog.com) — feature and event analytics; identifies users with ID, email, name, username on login.
  • Sentry (Functional Software, Inc., USA — EU region: de.sentry.io) — error diagnostics; maskAllText: true, no session replay in normal operation.
  • Firebase Cloud Messaging (Google LLC, USA — global) — push notification delivery. FCM receives device token and notification content only.

8. International data transfers

Most service providers process data outside Serbia. Transfer locations and mechanisms:

  • Cloudflare R2 (USA, global) — Standard Contractual Clauses (SCC) under Cloudflare DPA.
  • Resend (USA, AWS us-east-1) — SCC under Resend DPA.
  • Google Analytics 4 (USA, global) — SCC under Google Cloud DPA.
  • PostHog (USA, Cloud US) — SCC under PostHog DPA.
  • Sentry (EU region, de.sentry.io) — Data processed within EU; no transfer outside EEA required for European users.
  • Firebase Cloud Messaging (USA, global) — SCC under Google Cloud DPA.

9. Data retention

We retain data only as long as necessary for the purposes for which it was collected, unless longer retention is required or permitted by law.

  • Account and profile data: retained while the account is active. After a deletion request, data is anonymized within 30 days (soft delete → anonymize).
  • Bookings (cancelled, declined, expired): permanently deleted 30 days after status change.
  • Bookings (completed): anonymized 30 days after the event date.
  • Notifications: read notifications deleted after 14 days; unread after 180 days.
  • Analytics data (GA4, PostHog): per the retention policies of those services — verify in each console.
  • Diagnostic logs (Sentry): per the Sentry account retention policy.
  • Device tokens (Firebase): deleted on account deactivation or when FCM reports the token as invalid.

Upon account deletion request, we will delete or anonymize data in accordance with applicable rules. Certain data may be retained where there is a lawful basis.

10. Data security

NOTEQ implements appropriate technical and organizational measures to protect data. No system can guarantee absolute security. In the event of a personal data breach, we will act in accordance with applicable law, including notifying the relevant authority or affected individuals where legally required.

11. Your rights

  • Access: find out whether and what data we hold about you.
  • Rectification: request correction of inaccurate data.
  • Erasure: request deletion when legal conditions are met.
  • Restriction: request restriction of processing in cases provided by law.
  • Portability: receive your data in a structured, machine-readable format.
  • Objection: object to processing based on legitimate interest.
  • Withdrawal of consent: withdraw at any time via privacy settings.
  • Complaint: file a complaint with the competent data protection authority.

To exercise these rights, contact us at [email protected].

12. Data about other persons

If you upload photos or information about other people, you are responsible for having the appropriate authority or legal basis. Contact [email protected] if you believe your personal data has been published without a proper basis.

13. Minor users

NOTEQ is a platform for managing musical content — songs, chords, and repertoires — and has no minimum age restriction. Minor users may use NOTEQ with the consent of a parent or legal guardian.

If we become aware that we have collected personal data from a child without appropriate authorization, we will take appropriate steps including deletion of that data.

14. Changes to this policy

We may update this policy when features, service providers, or processing methods change. The updated version will be published with a new date. For significant changes, we will notify users via the app or email. Publishing a new version does not constitute consent for processing that requires consent.
